Reconcile patients from CharmHealth
Use monthly Encounter Statistics files to load recent active patients, or one full PatientDetails export to find missing master records and correct suffix placement. Missing full-master records are added inactive until current status is confirmed. CrewHQ compares with the protected Google Cloud Patient Registry before any write is possible.
1 · Select CharmHealth exports
Dry run requiredUse the CharmHealth Record ID as-is. CrewHQ will never guess a replacement for BHWa or PAT legacy IDs. A BHW#### number that belongs to another name or DOB is blocked as a collision. The protected exclusions for treyway@gmail.com, treywayy@gmail.com, and treyrichardson@gmail.com remain enforced.
EncounterStatistics files or one PatientDetails file
Select the monthly EncounterStatistics set together, or select one current PatientDetails full-master export. Do not mix the two export types. Exact duplicate files are skipped before patient data is prepared.

3 · Apply only approved patient changes
Protected writeOnly rows marked New will be created. New records from a full PatientDetails export are created inactive with coverage needing review and no active portal contact; monthly encounter records are created active. Name correction rows update only legal first name, legal last name, suffix, and verification timestamps. Full-master changes must be selected explicitly, up to 100 at a time. Excluded contacts, legacy IDs, invalid rows, duplicates, and collisions are never written.
The review token expires after 15 minutes. Google Cloud checks the registry again at the moment of import and cancels the write if an ID conflict appears.
